The test file
Our sample was a real, anonymized file from a community food program: 4,200 constituents, 11 years of gift history, inconsistent household naming and about 300 obvious duplicates. We imported it five times.
Results
- Two platforms detected household duplicates automatically and saved roughly 14 staff hours each.
- One platform silently truncated gift notes over 500 characters — discovered only during our audit.
- Every platform required manual mapping of soft credits. Budget a full day for this regardless of vendor.
Ask a vendor for their duplicate-merge screen before you ask for their dashboard screenshots.
Reporting that boards actually read
Retention rate, average gift by channel and lapsed-donor lists were available everywhere, but only two systems produced them without building a custom report. If your board meets quarterly, that difference is the whole product.
Recommendation
For organizations with fewer than five staff, choose the tool with the best import and merge experience even if it costs more per month. You will pay the difference back in the first quarter.
